The CHSSN is looking for a person to provide support to our administrative team; our aim is to improve access to health and social services for vulnerable English-speaking communities across the province of Quebec. The CHSSN acts as an intermediary organization that implements funding programs to improve access to English-language health and social services across Quebec. As Administrative Assistant, you will be responsible for secretarial and administrative support to CHSSN employees and you will coordinate office activities and information. What would your daily life be like? 50% Administrative support: finalizing documents, upkeeping records, updating web content and social media, filing of documents, responding to inquiries. 50% Office management: travel arrangements, logistics for events, purchasing for the office, maintaining office equipment. Your primary duties and responsibilities will be such as: Office Administration: Provide secretarial and administrative support to CHSSN staff Proficiency of using technology tools and platforms Use computer word processing, spreadsheet, and database software to prepare reports, memos, and documents Update and ensure the accuracy of the organization’s databases (Airtable) Sort incoming mail and deliveries for distribution Forward incoming general e-mails to the appropriate staff member Purchase, receive and store the office supplies ensuring that basic supplies are always available Code and file material according to the established procedures Make travel, meeting and other arrangements for staff Coordinate the maintenance of office equipment Keep the office and waiting areas organized Preparation of meetings, minute-taking Assistance in the annual audit process Production and tracking of expense claims Month-end duties as required Any other related task. In order to be THE Administrative Assistant we’re looking for, you’ll need to have in your briefcase: Cegep diploma or equivalent, or higher; Any experience in office management, administration, computers or related field; A high degree of technical know-how; Bilingual, i.e ability to write and to communicate IN FRENCH AND IN ENGLISH; Be recognized for these skills and abilities: Positive outlook, team player who enjoys helping others Strong problem-solving skills Resourceful and detail-oriented Ability to work independently and as part of a team Effective oral and written (bilingual) communication skills Effective to manage an office and administrative tasks Proficiency in the use of computer programs for: Office 365 suite (Word, Excel, Outlook…) Databases (as Airtable) Presentation development (as Canva) Web editing (as WordPress) Proficiency in the use of office equipment: Computer Voice messaging systems Digital fax and printers Photocopier / scanner This position may be required to work some occasional overtime hours such as attending meetings and conferences.
