The CHSSN is looking for a person to provide support to our administrative team; our aim is to improve access to health and social services for vulnerable English-speaking communities across the province of Quebec. The CHSSN acts as an intermediary organization that implements funding programs to improve access to English-language health and social services across Quebec. As Administrative Assistant, you will provide organization‑wide administrative support, ensures smooth daily operations, and delivers basic communications and data‑management services. This hybrid role strengthens internal workflows, supports CHSSN staff and programs, and ensures consistent, high‑quality execution of administrative and logistical tasks. The position is operational in nature, focused on coordination, execution, and maintaining efficient processes across the organization. Your primary duties and responsibilities will be such as: 1. Administrative Support & Office Operations Provide support to the team and basic troubleshooting. Assist with invoices, purchase receipts and expense claims (initial review). 2. Event & Logistics Coordination Support event preparation and logistics. Assist with onsite event setup and basic technical support. 3. Data & Systems Support Update and maintain Airtable bases (automations, interfaces, forms and surveys, data entry). Build basic surveys using Zite (advanced surveys) templates. 4. Communications Support & Content Execution Update the CHSSN website and create simple visual materials. Coordinate translation workflow, including preparation, proofreading, and integration of edits. 5. Program Administrative Support Administrative support to the team across CHSSN programs. Support logistics. In order to be THE Administrative Assistant we’re looking for, you’ll need to have in your briefcase: Cegep diploma or equivalent in secretarial studies, administrative techniques, communications support, or higher; Any experience in administrative support, office coordination, or communications execution, computers or related field; A high degree of technical know-how; Bilingual, i.e ability to write and to communicate IN FRENCH AND IN ENGLISH; Be recognized for these skills and abilities: Positive and welcoming attitude Resourceful and digital-savvy Flexibility and demonstrated adaptability in a changing environment. Standard office equipment (printers, scanners, photocopiers). This position may be required to work some occasional overtime hours, evenings or weekends during events or peak periods.
